Billing & Refund Policy

This policy explains how TimenBill subscriptions are billed, how plan changes work, and when refunds are available. It is part of our Terms of Service.

Definitions

  • Billing Cycle means the monthly or annual period for which Fees are charged.
  • Subscription Term means the period covered by a Billing Cycle.
  • Active User means a user who can access the workspace and is counted for billing.
  • Invited User means a user who has been invited to join a workspace but has not yet accepted.
  • Add-ons means optional purchases such as storage packs.
  • Usage Period means the timeframe in which usage is measured for billing.

Plans and pricing

  • Pricing, plan features, and limits are shown on our marketing pages and in the Service.
  • Plans may include base storage and per-seat allowances as described on the pricing page.
  • Plan limits may apply to seats, storage, exports, integrations, or other features.
  • We may update pricing as described in the Price changes section below.

Billing cycles and auto-renewal

  • Subscriptions are billed in advance on a monthly or annual cycle.
  • Subscriptions renew automatically unless canceled before the end of the current cycle.
  • You authorize us to charge the payment method on file for each renewal.
  • Billing dates are based on the start date of the Subscription Term.

Seat counts and proration

  • Billing is based on active users in your workspace roster (Invitation Status = Active and not inactive).
  • Inviting a team member may require purchasing additional seats before the invite is sent.
  • Adding seats may change your Fees immediately.
  • Removing users does not reduce Fees for the current Billing Cycle; monthly plans lower seat counts on the next cycle, while annual plans keep seats reserved for the term so they can be reassigned.
  • Upgrades, downgrades, and seat additions are prorated for the remaining term; seat removals follow the rules above.
  • Prorated charges or credits are shown before you confirm changes in the Service.
  • You are responsible for keeping your roster accurate.

Add-ons and storage

  • Storage packs and other add-ons are billed according to the plan and billing cycle selected.
  • Add-ons may renew with your subscription unless removed.
  • Usage above plan limits may require an upgrade or additional add-ons.
  • We may throttle or restrict usage that exceeds plan limits until billing is resolved.

Taxes and fees

  • Prices are exclusive of taxes unless stated otherwise.
  • You are responsible for applicable taxes, duties, and government charges.
  • We may collect tax information such as VAT, GST, or ABN to apply correct tax treatment.
  • Tax rates may change based on billing location or regulatory requirements.
  • If you claim a tax exemption, you must provide valid documentation.

Payment processing

  • Payments are processed by Stripe or other payment providers.
  • We do not store full payment card details on our servers.
  • You must maintain valid payment methods and authorization to charge them.
  • Payment processors may impose their own terms and fees.

Currency and exchange rates

  • Fees are billed in the currency shown at checkout or in your billing settings.
  • Your bank or card issuer may apply exchange rates or additional fees.
  • We are not responsible for currency conversion differences or issuer fees.

Invoices, receipts, and notices

  • Invoices and receipts are delivered electronically.
  • You consent to receive billing notices by email or in-app notification.
  • Billing records are available through the Service where supported.

Cancellations and downgrades

  • You can cancel at any time from the account settings or by contacting support.
  • Cancellations take effect at the end of the current Billing Cycle unless required by law.
  • After cancellation, the workspace may revert to the free plan.
  • Data retention and export windows are described in our Privacy Policy.

Refunds

  • Refunds are not provided for unused time, unused seats, or partial periods.
  • If local consumer protection laws require a refund, we will honor those requirements.
  • Discretionary refunds may be offered in limited cases and do not create an ongoing obligation.
  • Approved refunds are issued to the original payment method when possible.

Failed payments and suspension

  • If a payment fails, we may retry the charge and notify administrators.
  • We may suspend or downgrade access if payment is not resolved.
  • Access may be restored after payment is successfully processed.
  • We may revert a paid workspace to the free plan if payment remains unresolved.

Disputes and chargebacks

  • Contact us before initiating a chargeback so we can resolve the issue.
  • Billing disputes should be raised promptly after the charge appears.
  • Unresolved chargebacks may result in immediate suspension or termination.
  • You are responsible for fees or penalties incurred due to chargebacks.

Collections and late amounts

  • We may use collection efforts to recover overdue amounts where permitted by law.
  • You are responsible for reasonable costs incurred in collecting overdue amounts.

Price changes

  • We may update pricing from time to time.
  • Material changes will be communicated in advance where required by law.
  • Price changes take effect on your next renewal unless otherwise stated.

Promotions and credits

  • Promotional offers and credits may be subject to additional terms.
  • Credits have no cash value and may expire.
  • We may modify or end promotions at any time, subject to applicable law.
